Roles & Responsibility of CUALA Offices

PRESIDENT

The President shall:

  • Be responsible to the Board of Trustees of the Alumni Association.
  • Be responsible for the executive coordination of the Alumni Association.
  • Be the Chief Executive Officer of the Alumni Association.
  • Serve within his/her tenure as a member of the Board of Trustees
  • Preside over all executive council meetings and approve agenda for such meetings.
  • Commission relevant teams and committees to execute special tasks for the Alumni Association.
  • Be the custodian of the laws of the Association and ensure all actions and activities conform to the expectations of the Association as approved by the Board of Trustees.
  • Be responsible for ensuring a smooth transition upon expiration of tenure.
  • Serve as a representative of the Association at all events.
  • Provide oversight for the strategic engagement of chapters and flights, in collaboration with the Executive Secretary.
  • Perform other strategic duties that may be assigned by the Board of Trustees.

VICE PRESIDENT BUSINESS

The Vice President, Business shall:

  • Be responsible to the Board of Trustees through the President of the Association.
  • Design and develop business/entrepreneurship-related programs and activities for members of the community.
  • Identify and create new revenue sources for the Association.
  • Work with the Finance directorate on matters of mutual concern beneficial to the aspirations of the Association.
  • Be responsible for overseeing the business concerns of the Association.
  • Identify and establish strategic partnerships to enhance the business-related offerings of the Association e.g. access to deals/discounts from vendors.
  • Develop and maintain business-related policies for the Association.
  • Build and maintain a team of volunteers to support the development and execution of business activities of the association
  • Develop the annual budget and funding plan for business directorate-related activities in partnership with the Finance directorate.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

VICE PRESIDENT CAREERS

The Vice President, Careers shall:

  • Be responsible to the Board of Trustees through the President of the Association
  • Design and develop career enhancement programs and activities (e.g., career fairs, job boards, etc) for members of the community.
  • Oversee the Human Resources activities (recruitment, learning & development, performance management, etc) of the Secretariat.
  • Develop and maintain HR policies for the Alumni Secretariat.
  • Build and maintain a team of volunteers to support the development and execution of career activities of the association
  • Identify and establish strategic partnerships to enhance the career related offerings of the Association e.g. access to skills development programs.
  • Develop the annual budget and funding plan for careers directorate related activities in partnership with the Finance directorate.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

VICE PRESIDENT, COMMUNITY ENGAGEMENT

The Vice President, Community Engagement shall:

  • Be responsible to the Board of Trustees through the President of the Alumni Association.
  • Be responsible for the conduct, administration and execution of outreach efforts to reach inactive or disengaged alumni, understanding their needs and interests, and developing strategies to re-engage them with the association.
  • Collaborate with VPs, Chapter and Flight Leads to plan, organize, and execute events to promote alumni engagement, such as reunions, networking events, career fairs, and mentorship programs.
  • Collaborate with the Corporate Communications directorate to develop and implement communication strategies to keep alumni informed and engaged, including newsletters, social media campaigns, and website updates. This will include creating compelling content, such as alumni success stories, testimonials, and event highlights, to promote the alumni association and its activities.
  • Recruit volunteers to support various alumni association initiatives and events.
  • Be responsible for the overall coordination of the Chapters and Flights.
  • Create and manage the coordination of micro communities within the Community

VICE PRESIDENT, CORPORATE COMMUNICATIONS

The Vice President, Corporate Communications shall:

  • Be responsible to the Board of Trustees through the President of the Alumni Association.
  • Be responsible for the conduct, administration, and execution of all communication strategies of the Alumni Association.
  • Build and maintain a team of volunteers to support the development of communication/engagement activities of the association
  • Work with the Executive Secretary to disseminate information to all members of the Alumni Association using several media platforms including but not limited to newsletters, blogs, social media platforms, and website.
  • Develop strategies on the use of Information & Communication Technology platforms and systems to aid the operations of the Alumni Association
  • Manage all press-related activities on behalf of the Alumni Association
  • Develop and maintain communication and engagement policies for the Alumni Association.
  • Identify and establish strategic partnerships to enhance the communication & engagement-related offerings of the Alumni Association. e.g access to PR platforms
  • Develop the annual budget and funding plan for communications-related activities in partnership with the Finance directorate.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

VICE PRESIDENT, FINANCE 

The Vice President, Finance shall:

  • Be responsible to the Board of Trustees through the President of the Alumni Association.
  • Oversee the financial management activities of the Association, including but not limited to dues management, accounting, and financial reporting.
  • Develop and maintain relevant financial strategies, controls, systems, and policies
  • Ensure the preparation of monthly management accounts and annual audited financial reports for dissemination to relevant stakeholders.
  • Provide adequate support to the external auditors during the audit exercise.
  • Maintain accurate records of members’ financial standing.
  • Drive the annual budgeting process for the Association for Board approval.
  • Recommend appropriate investment opportunities for approval and manage investment earnings.
  • Build and maintain a team of volunteers to support the development of financial activities of the association
  • Identify and establish strategic partnerships to enhance the finance function of the Association.
  • Manage the banking activities of the Association.
  • Develop the annual budget and funding plan for finance-related activities.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

VICE PRESIDENT, UNIVERSITY RELATIONS

The Vice President, University Relations shall:

  • Be responsible to the Board of Trustees through the President of the Alumni Association.
  • Liaise with the University authorities on matters affecting the Association and other collaboration opportunities.
  • Design and execute programs aimed at connecting the student body with the Alumni Association (e.g., freshers’ welcome events, alumni-student mentoring programs, tuition support, TTG presentations, investiture events, etc).
  • Build and maintain a team of volunteers to support the development and execution of university-relations activities of the Association.
  • Develop the annual budget and funding plan for university-relations-related activities in partnership with the Finance directorate.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

VICE PRESIDENT, WELFARE

The Vice President, Welfare shall:

  • Be responsible to the Board of Trustees through the President of the Alumni Association.
  • Design, develop and execute welfare-related programs and activities aimed at improving the physical and emotional well-being of the members of the Association.
  • Provide strategic leadership to the Eagles Hope Charity Foundation as a member of its Board of Trustees.
  • Provide monthly updates to the Executive Council on the performance of the Eagles Hope Charity Foundation.
  • Be responsible for identifying and executing the Alumni Association’s social responsibility initiatives excluding the activities of the Eagles Hope Charity Foundation.
  • Build and maintain a team of volunteers to support the development and execution of welfare activities of the Association.
  • Develop and maintain welfare-related policies for the Association.
  • Identify and establish strategic partnerships to enhance the welfare-related offerings of the Association e.g., access to wellness programs, volunteering opportunities, community outreaches, etc.
  • Develop the annual budget and funding plan for welfare-directorate-related activities in partnership with the Finance directorate.
  • Take on other strategic responsibilities assigned by the President related to the duties written herein.

CHAPTER LEAD

The Chapter Lead shall:

  • Be responsible to the President through the VP, Community Engagement of the Alumni Association.
  • Be responsible for the coordination of all activities within the Chapter.
  • Provide leadership to, support, and encourage members of their Chapter to foster better engagement with CUALA.
  • Work with other members within the Chapter in implementing the overall strategy of the Association.
  • Maintain an up-to-date database of all members of their Chapter.
  • Create a communication platform for proper and prompt dissemination of information with members of Chapter.
  • Be responsible for the overall design and implementation of the Chapter plans and schedule.
  • Encourage and nominate willing members to participate in CUALA activities.
  • Coordinate physical activities within Chapter.
  • Take on other responsibilities assigned by the President related to the duties written herein.

FLIGHT LEAD

The Flight Lead shall:

  • Be responsible to the President through the VP, Community Engagement of the Alumni Association.
  • Be responsible for the coordination of all activities within the Flight.
  • Provide leadership to, support, and encourage members of their Flights to foster better engagement with CUALA.
  • Work with other members within the Flight in implementing the overall strategy of the Association.
  • Maintain an up-to-date database of all members of their Flights.
  • Create a communication platform for proper and prompt dissemination of information with members of Flight.
  • Be responsible for the overall design and implementation of the Flight plans and schedule.
  • Encourage and nominate willing members to participate in CUALA activities.
  • Should notify the Executive Council through the Vice President, Welfare of any critical welfare case within the Flight.
  • Take on other responsibilities assigned by the President related to the duties written herein.
